love photography capturing the moments that really impact people's lives today we're gonna about five things every photographer should do to protect their business and also make it more efficient quick disclaimer I'm not a lawyer neither is my wife I do the business administration side of our to photography businesses the marriage proposal calm and blush bouquet photography my wife is the talent behind the camera in both businesses and any advice that we give you today is just our advice you should get it reviewed by your own legal counsel number one have a solid contract why is this so important several reasons a contract protects your business gets you paid allows you to advertise and most importantly allows you to focus on the creative side of your business not potentially a legal issue with your business there are several important factors of a contract your payment terms making sure that you're getting paid on time and what you're actually charging for each session as well as the details of the shoot the time they're supposed to show up the location the duration of the shoot and then the other aspects that protect your business indemnification making sure that you don't get sued if somebody gets injured within your photo sessions copyright making sure that nobody edits your pictures you can even put terms in there that make sure they do not put filters on your images when people post them on Facebook or on Instagram as well as making sure that you have everything that protects your business from the unknown you want to make sure that you're protected god forbid somebody steals your equipment or your card gets damaged and the images are lost you need to have protection for this when you're starting out your business it is super super important to have a solid contract a lot of photographers don't focus on this initially they focus on just getting clients and getting images out there but making sure you have a contract that is legally reviewed and counsel for your business now a lot of photographers invest a lot of money in expensive equipment but they won't spend the dollars to actually get legal advice why this is really critical as many times while you may have a solid contract to begin with legal issues may come up in your business you may have somebody who want to actually change the terms of your contract we never recommend this but if you actually have a legal counsel that you can run those questions by it allows you to feel comfortable if you were to make a change in your contract to book the session now you may think well I just started out a photography business how can I actually afford a lawyer lawyers charge as much as I charge per hour in an actual session and that's true but what we actually found is something that really helped out our business it's called legal shield we actually use this for our business it's incredibly affordable you can pay as low as 39 dollars a month for their base package which is what we use for our business we really think it's enough it gives us unlimited access to a legal team a local law firm that is part of their network they've reviewed all of our contracts we can reach out to them if we have somebody who has a legal question regarding our business as well as they cover a review of permits that we actually do for locations where we shoot and many other legal advice making sure they have everything to run their business but they don't protect that equipment order themselves there's several reasons why you want to get business insurance one many actual locations require that you get a permit or require that you have business insurance to actually shoot their particular if you're doing weddings or you're doing any type of shooting at venues many of them require that you have a specific amount of coverage for that property itself the other aspect of business insurances protects the equipment and the actual sessions that you do these lenses this camera cost a lot of money so god forbid somebody stole it or it got damaged you would actually have the coverage to support yourself we actually had a really unfortunate thing happen after one of our sessions our equipment got stolen all of our equipment was almost in one bag two cameras three lenses and the worst part was the SD card that we had just done a proposal shoot for was actually lost if we did not have business insurance we would have had to pay all of that out of pocket as well as they covered the damage that we had in terms of actually having to refund the money to our client and provide that client with another free session to try and make up for the loss that occurred so having business insurance is really critical please take our advice on this we know firsthand how and invoicing system now we're going to talk less about protecting your business I'm going to talk more about making your business more efficient so one of the things that is really critical to a business is being able to get clients coming in so what you should do as a business owner as a photographer is make it as simple as possible for your clients to sign their contract and pay their invoice so the system that we actually use is shoot proof and the reason why we chose shoot proof is because of that fact it's not only a gallery delivery system and its really easy to use just from a user interface perspective but more importantly it allows you to actually upload a custom templated contract actually multiple contracts depending on the sessions that you are doing and then automatically email them to your client they can sign them online so without having to print them out and at the same time they can pay you with a credit card through their invoice processing system they charge a modest fee for this but what we find is that clients really love it this enables us to quickly get a contract signed when somebody says yes send me the paperwork it's really important that that time does not lapse after somebody says send me the paperwork if you were sending them a PDF and they have to print it out and scan it and send it back to you that is an annoyance to your
